# Create an order by hand

> Record a phone, email or in-person sale as an order, or build a draft order and send the customer a link to pay it online. A draft holds no stock and stays out of your reports until it becomes a real order.

Help Centre / Orders and customers - Updated 29 October 2026

Not every sale goes through your checkout. A regular calls to reorder five bags of the house blend, a cafe emails for a wholesale order, someone pays cash at a market stall. You can put any of these into Shoprocket by hand, so they sit in **Orders** with everything else.

There are two ways to do it:

- **Create an order** when the sale has happened: the customer has agreed, and you record it straight away as a real order.
- **Create a draft** when it hasn't happened yet: you put the order together, send the customer a link to pay it, and it becomes a real order when they pay or when you complete it.

## Create an order

1. Go to **Orders** and click **Create Order**.
2. Under **Items**, use **Add product** to search your catalog and pick a product, or click **Custom line** for anything that is not in it. Set each line's **Qty** and **Price ($)**. A product comes in at its current price, which you can change.
3. Under **Taxes & charges**, add any **Discount ($)** and **Shipping ($)**. To charge tax, click **Add tax line** and enter its **Tax name**, **Rate %** and **Amount ($)**: an order you create by hand charges exactly the tax you type, and nothing is worked out for you.
4. On the right, under **Customer**, enter their **Name** and **Email**.
5. Under **Status**, set **Payment** to **Paid** if they have already paid you, or leave it **Pending** if they will pay later.
6. Add a **Shipping address** if it is going out by post.
7. Click **Create order**.

The order takes the next order number and appears in **Orders**, marked as **Created in the dashboard**. It sets aside its stock straight away, just as a checkout order does. An order created as **Paid** also counts in your reports and gets its invoice.

If the order includes a digital product, a licence key or a gift card, create it as **Pending** and then click **Mark as paid** on its page. Marking it paid is what sends the customer their download links, keys or gift card; an order created as **Paid** in one step doesn't send them.

Creating an order this way doesn't email the customer. When the money arrives on a **Pending** order, open it and click **Mark as paid**.

## Create a draft order

A draft is an order you are still putting together: a quote, a phone order waiting on payment, or a custom job you want the customer to check. It holds no stock and appears in no reports until it becomes a real order.

### Add the Draft orders app

1. Go to **Apps**.
2. Find **Draft orders** under **Selling** and click **Add**.

**Drafts** now appears in your sidebar under **Sell**. Draft orders are on every plan.

### Build the draft

1. Go to **Drafts** and click **Create Draft**.
2. Add the items, charges and customer exactly as for an order above. The customer's **Email** is where the payment link goes.
3. Click **Create draft**.

The draft gets a draft number, such as #D12, and opens. A note at the top says it holds no stock and appears in no reports. To change it later, click **Edit**.

In **Drafts**, every draft is listed with its customer, when it was created, its **Payment link** (when you sent it, or **Not sent**), its items, note and total.

### Send it to the customer to pay

On the draft, click **Send to customer**, check the **To:** line, add a **Message (optional)** and click **Send email**. The customer gets an email with every line, the total and a **Pay now** button that opens your checkout on the draft. When they pay, the draft becomes a real order.

To send the link yourself, in a chat or a text message, click **Copy payment link** instead.

The link works for 30 days and always charges the draft as it is when the customer pays. [Take quote requests and enquiries](https://v3.shoprocket.io/help/quotes-and-enquiries.md) covers the email, the checkout and what the customer sees in full.

### Complete it yourself

If the customer pays you another way, or you want the order to go ahead before they pay:

1. Open the draft and click **Complete order**.
2. Choose how it was paid:
   - **Mark as paid**: payment was collected outside Shoprocket, such as cash, bank transfer or a card terminal.
   - **Payment due later**: create the order unpaid, and record the payment when it arrives.
3. Click **Complete order**.

The draft becomes a real order: it takes the next order number, sets aside its stock and starts counting in your reports. Its page notes which draft it was. This can't be undone.

If the sale never happens, click **Delete draft** instead.

## Questions

**Is a manual order linked to the customer's account?**
No. An order you create by hand keeps the name and email you type on the order itself, but isn't added to a customer's record or their order history in **Customers**.

**Can I set the price lower than my catalog price?**
Yes. Every line's price is yours to set, on an order or a draft. So is the shipping, and any discount.

**Can a customer change a draft before paying?**
No. They pay exactly what the draft says. If they want something different, they ask you, and you edit the draft. The link then charges the new total.

**What happens if a product sells out before the customer pays the draft?**
A draft holds no stock, so they can't pay until it is back in stock or you change the draft.
