# Edit an order

> Change an order's items, prices, shipping, tax, customer details and addresses after it is placed, or archive it. Editing changes the record and the total, but moves no money, so refund or collect any difference separately.

Help Centre / Orders and customers - Updated 29 October 2026

Customers change their minds and addresses get typed wrong. **Edit** lets you correct an order after it has been placed: the items and their prices, the shipping and tax charged, who it is for and where it goes.

Editing changes the order record and recalculates its total. It never charges or refunds the customer by itself, so read **What editing does not do** below before you change the money on a paid order.

## Before you edit

- **Edit before you ship.** Once a shipment or a return is recorded on the order, the editor can't save changes to it. To fix an address after shipping, cancel the shipment on the order page first, or contact your carrier.
- **Each save rewrites the order's items.** Every time you click **Save order**, the lines are saved again as the editor shows them. Anything the editor doesn't show is not kept: what the shopper typed or uploaded for a product (such as a gift message or a name to engrave), the link from a subscription line to its subscription, and the download links on a digital line. Note these down, or avoid editing orders that have them.

## Open the editor

1. Go to **Orders** and open the order.
2. Click **Edit** at the top of the page.

The editor opens with everything the order holds. Nothing is saved until you click **Save order** at the bottom, and if you try to leave with unsaved changes you are asked first.

## What you can change

**Items.** Change any line's name, **Qty** or **Price ($)**, or remove it with the bin icon. Add more with **Add product**, which searches your catalog, or **Custom line** for anything that is not in it, such as a gift wrapping charge. Every order needs at least one item.

**Taxes & charges.**

- **Discount ($)**: an amount off the whole order.
- **Shipping ($)**: what the customer pays for delivery.
- **Add tax line**: a tax line with its **Tax name**, **Rate %** and **Amount ($)**. You enter the amount yourself: the editor doesn't work tax out for you, so an edited order keeps exactly the tax you give it.

The totals under the card update as you type, and the order's total is recalculated when you save.

**Note.** The **Internal note** is for your team only. It is the same note shown on the order page.

**Customer.** The customer's **Name** and **Email**. The email is where every later email for this order goes, such as the shipping confirmation.

**Status.**

- **Order status**: **Open**, **Archived** or **Cancelled**. Archiving puts an order away without moving any money or stock, and you can set it back to **Open** at any time. Choosing **Cancelled** cancels the order when you save (see [Cancel an order](https://v3.shoprocket.io/help/cancel-an-order.md)).
- **Payment**: **Pending**, **Paid**, **Partially paid** or **Failed**. Setting it to **Paid** does the same as **Mark as paid** on the order page: it records the payment and delivers anything the order was waiting for. The refunded statuses aren't offered here, because only a real refund can set them.
- **Fulfillment** is shown but can't be changed. It follows the shipments you record on the order page.

**Shipping address** and **Billing address.** Correct a typo, or click **Add shipping address** or **Add billing address** if the order has none.

When you click **Save order**, you go back to the order page, and the **Timeline** records what you changed and who changed it.

## What editing does not do

- **It moves no money.** If you raise the total of a paid order, the customer is not charged the difference. If you lower it, they are not refunded. To give money back, use **Refund** on the order page (see [Refund an order](https://v3.shoprocket.io/help/refund-an-order.md)). To collect more, take the extra payment yourself, or create a separate order for it.
- **It doesn't email the customer.** They aren't told the order changed, so let them know yourself if it matters to them. The one exception is cancelling, which offers to email them.
- **It doesn't change the stock the order holds.** Stock is set aside for the items the order had when it was placed. Adding, removing or swapping items in the editor doesn't change that. If you swap a product for a different one, check the stock counts of both on **Products** after the order ships.
- **It doesn't record a shipment or a return.** Use **Mark as fulfilled** and **Return** on the order page for those.

## Questions

**Can I edit a cancelled order?**
You can still correct its details, its reason for cancelling and its note, but its status can't change. A cancelled order is final, so to sell the same items again, create a new order.

**Can I edit a draft?**
Yes, in the same editor. A draft's payment stays **Pending** until you complete it from its page. See [Create an order by hand](https://v3.shoprocket.io/help/create-an-order-manually.md).

**Who can edit orders?**
Anyone on your team whose role lets them edit orders. Team members without it don't see the **Edit** button.
