# Find and manage your orders

> Every order your shop takes lands in Orders. Search and filter the list, open an order to see where it is up to, and keep your team's notes, tags and comments on it.

Help Centre / Orders and customers - Updated 29 October 2026

**Orders** is where every sale arrives: orders from your Shoprocket shop, from every embed on your own website, and the ones you create by hand. Open one to see what was bought, whether it is paid, what still has to ship, and everything that has happened to it since.

The examples use a coffee shop in Portland, OR, selling bags of beans and brewing gear.

## The Orders list

Go to **Orders**, under **Sell**. Newest orders come first. Each row shows:

- **Order**: the order number, with a **Test** badge on a test order.
- **Customer**: their name and email, or **Guest**.
- **Date**, **Items** and **Total**.
- **Payment**, **Fulfillment** and **Status**: the three statuses explained below.

Click any column heading to sort by it, and click a row to open the order. On a smaller screen some columns are hidden to make room.

![The Orders list with the search box and the Order date, Mode, Status, Payment and Fulfillment filters above a page of orders, some paid and some pending, some fulfilled and some not](https://v3.shoprocket.io/img/help/manage-orders/orders-list.webp)

### Search and filter

- **Search** by order number, customer name or email.
- **Order date** narrows the list to a date range.
- **Mode** picks **Live**, **Test** or **All**. The list shows live orders to start with, so set it to **Test** to see the orders you placed while testing. See [Take a test order](https://v3.shoprocket.io/help/take-a-test-order.md).
- **Status**, **Payment** and **Fulfillment** narrow the list to one status each.

**Clear** puts every filter back. The filters live in the page address, so you can bookmark a filtered list or send it to a teammate.

From a customer's page, **View all orders** opens this list filtered to that customer.

### Act on several orders at once

Tick the box on each row you want, up to 100 at a time, then choose:

- **Mark as fulfilled**: records everything still to ship on each order as shipped, and takes the stock off your count. Leave **Email customers their shipping confirmation** ticked to send each customer their shipping email.
- **Mark as paid**: for orders paid outside Shoprocket, such as by bank transfer or cash.

Orders that don't fit are passed over and listed with the reason: a draft, a cancelled order, one that has already shipped, or one still waiting on a card payment.

## The three statuses

Every order carries three separate statuses, because being paid and being shipped are different questions.

### Payment

- **Pending**: not paid yet. A bank transfer or cash order waits here until you mark it paid.
- **Payment clearing**: the payment provider is still working on it, for example a bank debit that takes a few days. Don't ship against it yet.
- **Paid**: the money has been taken.
- **Partially paid**: only part of the total has been paid.
- **Partial refund**: you refunded part of the order.
- **Refunded**: you refunded all of it.
- **Failed**: the payment was declined.

### Fulfillment

- **Unfulfilled**: nothing has shipped yet.
- **Partially fulfilled**: some items have shipped and some are still to go.
- **Fulfilled**: everything has shipped, been collected or been delivered.

Fulfillment follows the shipments you record on the order, so you can't set it by hand. See [Fulfil and ship orders](https://v3.shoprocket.io/help/fulfil-and-ship-orders.md).

### Status

- **Open**: a live order. Almost every order is open.
- **Archived**: put away, so it no longer needs your attention. It moves no money and no stock, and you can open it again at any time from **Edit**.
- **Cancelled**: the order was called off. Cancelling is final. See [Cancel an order](https://v3.shoprocket.io/help/cancel-an-order.md).
- **Draft**: an order you are still putting together. Drafts have their own list, under **Drafts**. See [Create an order by hand](https://v3.shoprocket.io/help/create-an-order-manually.md).

The **Status** filter also offers **Incomplete**: checkouts where the shopper went to pay and never did, or their card was declined and they gave up. They are kept out of every other view so they don't clutter your real orders.

## Open an order

At the top of an order you see its number, when it was placed and where it came from (your shop, the dashboard, or an import), with its payment and fulfillment statuses beside it. Under that, a progress bar shows where the order is up to: **Placed**, **Paid**, **Fulfilled**, and **Delivered** once a tracked shipment is on its way.

![An order page: the order number with its Paid and Unfulfilled badges, the progress bar, and the Ready to fulfil card with the order's items](https://v3.shoprocket.io/img/help/manage-orders/order-page.webp)

The buttons at the top change with the order. You only see the ones that make sense for it right now:

- **Refund**, once money has been taken. See [Refund an order](https://v3.shoprocket.io/help/refund-an-order.md).
- **Return**, once something has shipped.
- **Cancel order**, while nothing has shipped. See [Cancel an order](https://v3.shoprocket.io/help/cancel-an-order.md).
- **Edit**, to change the items, prices, customer details or addresses. See [Edit an order](https://v3.shoprocket.io/help/edit-an-order.md).
- **Delete order**. Click it, then click again to confirm.

The arrows beside them step to the newer or older order without going back to the list.

The page is laid out in cards:

- **Items**: what was bought, with each line's variant, SKU, how many are left in stock, and anything the shopper typed or uploaded for it. The card's buttons record the shipment: **Mark as fulfilled** and **Buy shipping label**, or the pickup and local delivery buttons for those orders.
- **Payment**: the subtotal, discounts, shipping, tax and total, how it was paid, what your payment provider charged in fees, and the order's invoice. On an unpaid bank transfer or cash order, **Mark as paid** sits at the top of this card.
- **Downloads** and **Licence keys**, for digital products.
- **Emails**: every email this order sent the customer, and whether it arrived. **Send again** re-sends one.
- **Timeline**: everything that happened to the order, below.
- On the right: the customer, a risk check, how they found your shop, the order's tags and your internal note.

If the customer left a message at checkout, it shows near the top as **Note from the customer**.

## Mark an offline payment as paid

For an order paid by bank transfer, cash on delivery or any other way outside Shoprocket:

1. Once the money is in your account, open the order.
2. Click **Mark as paid** on the **Payment** card.
3. Check the amount and click **Mark as paid** to confirm.

This records the payment, issues the invoice and delivers anything the order was waiting for, such as download links, gift cards or licence keys. The button only appears on an unpaid order that was meant to be paid outside Shoprocket. A card or PayPal order that is still pending is waiting on its payment provider, so it can't be marked paid by hand.

## Notes, tags and comments for your team

Three places hold your team's own words. The customer never sees any of them.

- **Internal note**, on the right. One note per order, for the thing everyone should know, such as "Gift: no prices on the packing slip". Click **+ Add** or **Edit**, type it, and click **Save**.
- **Tags**, above the note. Labels such as gift, rush or wholesale. Click **+ Add** or **Edit**, type a tag and press Enter, then click **Save**. Tags you have used on other orders are suggested as you type.
- **Comments**, at the top of the **Timeline**. Type in **Leave a comment for your team...** and click **Post**. Each comment shows who wrote it and when.

The **Timeline** also records what happened on its own: the order being placed and paid, shipments, refunds, emails, edits and cancellation, each with who did it.

## Questions

**Why can't I see an order I just placed?**
If you placed it while testing, it is a test order, and the list shows live orders to start with. Set **Mode** to **Test** or **All**.

**Why don't I see some of the buttons?**
Each button only appears when it can be used on that order, and when your role allows it. For example, **Cancel order** disappears once something has shipped, and a team member who can only view orders sees none of the action buttons.

**Does deleting an order cancel it?**
No. Deleting takes the order out of your lists, but it doesn't refund it, release its stock or tell the customer. To stop an order, cancel it instead.
